Key Responsibilities

  • Managing the co-ordination, governance and uploading of executed project documents for the UK and Ireland to the EDMS. Where appropriate, establishing the project on the EDMS in line with templates and protocols. Managing and hosting EDMS training sessions for new users within the project team, either with groups or on an individual basis.
  • Acting as main point of contact for support for project users of the EDMS, creating and managing document workflows in the EDMS, with direction from the project team, in line with company protocols.
  • Liaising with the Business and Stakeholders to ensure that relevant signatures have been obtained and documents are registered at the company registry.
  • Scanning or uploading to EDMS, arranging the co-ordination of hard copy contracts to the relevant party and practical link copies of signed documents back to the project EDMS site.
  • Maintaining governance and checking quality assurance to ensure that executed documents provided by the business are complete and fully signed with any responsible parties to ensure the Business has a complete record of all documents.
  • Maintaining project files in Legal office as appropriate and responding to any queries regarding these or historical project files currently stored on site, as appropriate.
  • Supervision of the Legal Administrator, based from the UK, providing administration support to the Legal Team.
  • Managing and uploading documents to Legal SharePoint in collaboration with the Legal team.
  • Archiving documents, historical project files beyond 6/12 years. Arranging shredding of existing project files beyond that time period. Maintaining organised filing and archiving of current and historical projects back to 5 years ago. Constantly reappraising documents to be sent for archive.
  • Archiving and managing historical files within Legal office and developing better management structure of previous.
  • As this role covers both the UK and Ireland some occasional travel will be required.

Experience & Skills

  • Advanced experience of using and managing document control systems. Previous experience of Viewpoint for Projects is especially desirable.
  • Intermediate level in all Microsoft Office packages.
  • Strong personality with proven leadership skills and the ability to work within a team environment using own initiative.
  • Ability to effectively communicate with, and educate all stakeholders in the EDMS protocols, ensuring the protocols are strictly adhered to.
  • Ability and willingness to train others.
  • Comprehension of naming conventions.
  • Diligent with attention to detail.
  • Analytical thinker.
  • Pride in work.
  • Interest in wider project and industry.
